TIP 1: How to delete a folder in InnoCielo Meridian Enterprise or  InnoCielo Teamwork which contains hidden documents

When removing a folder in the InnoCielo Meridian Enterprise or TeamWork client, a message may be displayed:

"The folder is not empty. Note: The folder may contain documents not visible to you.”

The most common cause of this message is that a document residing in the folder you are trying to delete is on another user’s worklist.

There are two possible ways to find hidden documents in folders:

Method 1: Use the In Progress Viewer

The In Progress Viewer displays all documents that are in progress, either on somebody’s work list or in a Work Area. It displays all work lists and all Work Areas available in a tree format. Behind each document is an indication of how long the document has been in progress.


Using the application is quite simple. You are asked to select a vault. After selecting a vault a dialog as shown below is displayed:


Those with a valid log-in account can find and download the In Progress Viewer setup by searching for the following numbered articles in the BlueCielo Knowledgebase:

Method 2:  Using History Mode in the Vault

It may be that documents are in progress by another user and some changes need to be made. This may have led to the document workflow state being changed from "released" to "under change"/"quick change". At this point the document will be invisible to other users. This is only true if Work Isolation Mode is ON and not with single document workflow. By entering history mode, the document will not be hidden since the document state is "released".

Enter History Mode by selecting View in the top menu bar in the InnoCielo Meridian Enterprise or InnoCielo TeamWork client. Select Go Back in Time.

 

It is also possible to enter History Mode by selecting the Now option in the status bar of the InnoCielo Meridian Enterprise client.

Now select a specific date and see if there are documents listed under the same folder in history mode. These document(s) are most probably also the documents that are in progress at this moment.

TIP 2: How to unlock revisions from local workspace

When a local workspace is used, documents that are being edited by users become locked in their local workspace. There may be scenarios that result in a document being unable to be unlocked by the user editing the document. Such scenarios could be:

  • User is sick
  • Client machine is replaced
  • User leaves the company without unlocking all of his or her documents

 

If for some reason you need access to a locked document you would normally contact your System Administrator. There is, however, a method of unlocking the document on another user’s todo list from within the InnoCielo client as we will show here.

In this example, the document “Example.DWG” is locked in the local workspace of another user.

Now you have a document that seems to be unlockable in the normal manner (ie by releasing the document or by viewing the Advanced Properties to manually unlock the document).


There is however a fairly easy way to unlock this document. Select the desired document and open the context menu with a right mouse-click). The following options will appear:


Select the Show Revisions option. When the Show Revisions dialog appears you will see all the revisions, including the locked revision:


If you select the locked document, Revision 2 in our example, you can open the context menu and select Unlock from Workspace.

Please note that you will need the necessary access rights to perform this action. If you are sure that you have enough access rights but are still unable to unlock the document, contact your System Administrator for further assistance.
